Terms and Conditions
I ask all my clients to read the Terms and Conditions so there is a mutual understanding of how I operate. If you have any questions, please do not hesitate to ask.

The following terms and conditions aim to create the basis for maintaining a positive and efficient working relationship.
1.Privacy Policy
The personal data I collect will only be used for:
ensuring that my tutoring sessions are conducted in a safe environment and that the tutee’s needs are met;
providing you with feedback relating to the sessions;
contacting you with information relevant to our tutoring agreement; and
contacting you in the event of an emergency.

The information I request is necessary to ensure I can provide the agreed services.
Legitimate interest:
The data I request will inform the services I provide; therefore, they directly benefit the tutee. The information I request will be processed and used reasonably to inform the services I provide.
Safeguarding Compliance:
To ensure that all my tutees are safeguarded accordingly, data may be confidentially shared with appropriate authorities if/when needed. The categories of data which may be collected and stored for each tutee are:
Name;
Date of Birth/Year Group; and
Contact Details (such as email addresses and phone numbers).
Consent:
Your data will be stored securely, and it will be accessible only by myself. When providing the information, you are also agreeing that I can use the data to ensure that the services provided meet the tutee’s needs and that I can communicate with you to that effect. Your data is deleted when our tutoring agreement ends. I will not share or discuss your data or details of our tutoring agreement with any other person(s) unless you request that I do so.
2.Payment Policy
All sessions are payable in advance, on the 1st of each month (this may differ on the first month depending on when we our agreement commences). This allows me to plan and prepare resources for sessions and provides me with the security of purposeful work. Payment is taken by bank transfer, details of which are provided during our initial tuition arrangements via email or text.
Payment Reminders and Failure to Pay:
In the event that you forget to pay and a payment reminder is issued, I ask that you put a reminder in your calendar for future payments. If a reminder has to be issued more than once, you run the risk of having future booked sessions cancelled. I do not enforce any reminder fees currently and paying on time ensures that I can keep doing this.
3.Cancellation Policy
Changes and cancellations affect my availability and therefore they need to be communicated in a timely manner as explained here. When cancelling a session less than 48 hours prior to the date it is scheduled to take place, reschedules will be offered based on availability and sometimes this may not be possible. When cancelling a session more than 48 hours prior to the date it is scheduled to take place, I will attempt to reschedule once by offering one or more alternative available slots. It is your responsibility to identify and accept the rescheduling slot and attend that session. The later rules apply in case of illness, even when cancelling a session less than 48 hours prior to the date it is scheduled to take place. In the case of special life events(*1), please bring these to my attention 2 weeks in advance so we can reschedule the session for a more convenient time. Failure to do so will result in no reschedules and no refunds. Should you fail to inform me 2 weeks (or more) in advance and an invoice has not been issued, the session will be included in the invoice, and I will attempt to reschedule once.
*1Special life events defined as extra-curricular events such as sports games, ballet performances etc, which are one offs and not repeated.
4.Missed Session Policy
If a session is missed due to unforeseen circumstances and no contact is made before to cancel or after to explain and rearrange, then no refund will be issued and rescheduling will not be an option. I understand that in extenuating circumstances it is not possible to contact me in advance, but please do make contact within 24 hours after the missed session. No refunds are issued for no shows, but in extenuating circumstances I will attempt to reschedule the missed session once. If I join a session and you are not there at the start of your session, I will wait 5 minutes prior to making contact. If I get no response, I will wait a further 10 minutes before logging out.
5.Notice Period
If you wish to end our tutoring arrangement, I ask for a notice period of 5 weeks. This is to ensure that I have an accurate picture of my availability when new clients enquire. I am sure you can appreciate that when you leave, this results in reduction of my paid hours. No refunds will be possible if you wish to stop tutoring sessions part-way through a prepaid month and in the event of stopping with no prior notice, 4 weeks of tuition will be due(*2).
*2 Calculated based on the number of weekly hours of tuition occurring in the week immediately preceding cancellation (excluding one off alterations to weekly hours and weeks where no tuition was provided on a pre agreed basis).
6.Holidays
Tuition arrangements run throughout the year and are not affected by academic holiday periods (or other such breaks). When I take holiday, I will inform you 4 weeks in advance and offer rescheduling options. I ask that you inform me of any holidays, both during term time, half terms and breaks two weeks prior to the beginning of the month the break in tuition will fall in. For example, if taking holiday in March, notice will need to be given no later than the 14th of February. This is to ensure that any behind the scenes work, such as producing invoices or rescheduling sessions, is done efficiently and no work is duplicated. If you fail to inform me of time off, those sessions will be included and will be due in that month’s invoice as if no break were occurring.
When taking holiday during term-time or half terms I ask that you reschedule your sessions when possible. This is to ensure that we follow the medium-term plan I have set up for tuition and we do not fall behind. In case of extended holidays where the medium-term plan needs to be revised and significant changes need to be made, charges may be incurred. These charges will be according to my hourly rate and will be no more than 3 hours and no less than 1 hour.
7.Contact Policy
If you wish to contact me, please use my email and/or mobile number. Please remember that I might be tutoring in the day and sometimes late into the evening, which means I will not be able to answer your call/email immediately. I endeavour to reply to all messages within 24 hours, except when I am on annual leave. I am contactable between 9am and 7pm, Monday Friday but I may reply to emails/texts outside of these hours.
